EDI and Odoo for Calgary Distributors
How Calgary distributors should plan retail EDI with Odoo: customer requirements, casepacks, warehouse handoffs, testing, costs and support ownership.
A Calgary distributor should start an Odoo EDI project with the customer’s implementation guideline and an actual warehouse order. Confirm the document set, item identifiers, packing rules, response deadlines and testing process before choosing a connector. A working order must remain traceable through picking, shipment and invoicing.
Calgary Economic Development identifies transportation and logistics as a local industry, with distribution and access to road, rail and air networks among its strengths. For a distributor serving customers across Western Canada, the useful software question is how each warehouse and carrier handoff reaches the customer accurately. The checklist below applies when a buyer requests electronic trading; local industry presence alone does not establish an EDI requirement.
Find the gap between the portal and Odoo
Ask the order desk to follow one recent customer order. Record where it first arrives, who enters it in Odoo, how quantities change, and where the shipment confirmation and invoice are submitted. Include the corrections someone makes before the customer accepts them.
If orders already arrive through SPS Commerce, TrueCommerce or another service, document that arrangement before proposing a replacement. The customer’s platform contract may settle part of the architecture. An integration proposal still needs to explain how the order reaches Odoo and who deals with a rejected document.
GS1 Canada publishes Canadian EDI guidance using X12 transaction sets. Common retail documents include the 850 purchase order, 856 ship notice and 810 invoice. The customer’s own guideline determines the applicable version, fields and timing. Keep a copy of that guideline with the scope.
Resolve the warehouse decisions before mapping
Use this as a workshop agenda with the sales desk, warehouse lead and finance owner:
| Decision | Evidence to bring |
|---|---|
| Customer item number and your product code | An order line matched to the product actually picked |
| Eaches, cases and pallets | The agreed pack quantities and conversion rules |
| Partial shipment or backorder | A customer-approved example showing the remaining quantity |
| Ship-from and ship-to location | The identifiers for every participating warehouse and destination |
| Outside warehouse or 3PL | Who confirms the packed quantity and when that information becomes available |
| Invoice references | The order and shipment references the customer expects |
| Credits and deductions | Who investigates a discrepancy and where the supporting records sit |
Write down who can change a casepack or customer product code. A mapping that passes testing can fail after an ordinary product-data edit. Include the approval and retest process in the handover.
Our wholesale distribution software guide covers the related pricing, backorder and landed-cost decisions. Resolve those alongside the EDI scope when they affect the same order.
Check hosting and quote the complete route
Identify the Odoo version, edition and hosting arrangement at the first meeting. Odoo’s version 19 documentation states that Odoo Online does not support custom modules. A proposed connector requiring module installation therefore needs a compatible hosting arrangement; assess an external API approach separately against the subscription and API access available.
Ask for separate prices for the platform or transport, Odoo mapping, each trading partner’s testing, labels where required, monitoring and ongoing support. A hosting move, data cleanup or warehouse-process change should have its own scope. Compare proposals against the same document set and transaction volume.
Test the exceptions that reach the order desk
Use your own product and customer data in an agreed test environment. Include a duplicate order, an unknown item, a changed order, a short shipment and a rejected invoice. These are evaluation scenarios; your customer’s certification programme may require extra cases.
For each test, retain the original document, the resulting Odoo record, the outgoing response and the acknowledgement or rejection. Agree how duplicate submissions are detected and how a failed transaction can be retried without creating another order or invoice. Ask the warehouse lead to approve the shipment result and finance to approve the invoice result.
Where Solvync and ERP Integrators fit
Commercial disclosure: Solvync and ERP Integrators have a commercial relationship with the Biztech network operator. ERPIntegrators.com is a product line of Solvync Inc. The links in this section are vendor information.
Solvync’s Calgary Odoo practice covers the wider ERP implementation. ERP Integrators focuses on connecting Odoo to retail EDI programmes, including platform and direct routes. A buyer can use its EDI Requirement Check to start a discussion about the mandate.
Ask for a written answer on hosting compatibility, the named trading partner, documents included, certification responsibilities and support coverage. Compare another qualified provider against the same evidence. Neither a product page nor partner-directory status establishes that a particular customer programme has been delivered.
Leave the team with an operating record
Before acceptance, get the mapping specification, test results, monitoring responsibilities and recovery procedure. Name who watches the failures each working day, who contacts the customer, and who maintains credentials or certificates. Put the first support contact and escalation path where the order desk can find them.
For broader planning, use Odoo implementation in Calgary and the Alberta integrator checklist. Bring the customer’s guideline, a sample order and the warehouse decisions above to any scoping meeting.

Frequently Asked Questions
- Does a Calgary distributor need EDI if it already uses Odoo?
- A customer's trading requirements decide whether EDI is needed. Odoo handles internal business records; the project must also map those records to the customer's required documents, identifiers and testing process.
- Should we replace SPS Commerce or TrueCommerce when connecting Odoo?
- First check whether the customer mandates that platform. Compare keeping the existing service and connecting Odoo against the full cost of a supported direct route. Include mapping, testing, monitoring and support in both proposals.
- Is ERP Integrators a separate company from Solvync?
- ERPIntegrators.com describes itself as a product line of Solvync Inc., the Calgary Odoo consultancy. Check which services, responsibilities and support terms the signed engagement includes.
